Organization Deployment – Collaboration Cloud & Transcription

If Collaboration Cloud or NVivo Transcription have been purchased by an organization, the organization's administrator or Organization Owner is responsible for deployment to end users (they can assign other administrators if required Organization User Roles).

NOTE  This topic is for administrators deploying Collaboration Cloud and/or NVivo Transcription.

Seat distribution is carried out from the MyLumivero portal. For each product you invite users with their email addresses. They must have personal MyLumivero profiles to access the products. Details are provided below.

Assign or Unassign User Seats: Collaboration Cloud or NVivo Transcription

NOTE   Organization Owner or License Manager privileges are required to perform this action.

  1. Log into the MyLumivero portal using your personal profile credentials.

  2. If you have more than one account, select the one used to buy the product with the licenses/subscriptions you want to assign.

  3. From the left navigation select My Licenses.

    • For Collaboration Cloud seat assignment:

      1. Select the Collaboration Cloud license under Manage Licenses section:

        • To add a user, do the following:
          1. Click Add User, enter the end user's email address.

          2. Click Add User.

            The newly added user is displayed in the assignee list.

        • To add users in bulk via batch file, do the following:  
          1. Click the vertical ellipsis icon and select Upload CSV.

            Upload CSV dialog is displayed.

          2. Drag and drop the CSV file onto the dialog (or click to browse and upload).

          3. Click Assign User.

          All invited users are listed on the page after you assign. You can:

          • View the number of seats allocated and remaining.

          • Download the list of assigned users by clicking Download CSV.

    • For Transcription seat assignment:

      1. Select the Transcription license under Manage Licenses section.

      2. Click Add User, enter the end user's email address.

      3. Enter the hours and minutes to allocate to the user.

      4. Click Add User.

        The newly added user is displayed in the assignee list.

  4. When you submit the email addresses the organization license is linked to personal MyLumivero profiles for each end user:
    • If the end user already has a MyLumivero profile (identified by the email address) this profile is used.
    • If the end user doesn’t have a MyLumivero profile, a profile is automatically created for them (containing just their email address) and the license linked to this profile.
  5. End users receive an email to inform them that they have been given access to the product, with links to further instructions.
    • If the end user doesn’t already have a MyLumivero profile, they also receive a ‘myNivo signup’ email to complete the profile stub created for them in the previous step. The email asks them to complete profile details, accept the Lumivero privacy policy and terms and conditions, and create a password.
  6. End users can now log into and use Collaboration Cloud or NVivo Transcription with their personal MyLumivero profiles.

You can unassign a seat and redeploy it to another person. Click unassign icon beside the person you want to remove from the license (this user can now no longer log into the module). The seat becomes available to assign to someone else.

Edit Transcription Allowance

You can allocate specific transcription minutes/hours for users.

  1. Log into myLumivero (create a profile and account if you don't already have them—if you have multiple accounts linked to an existing profile, select the required account).

  2. Select My Licenses from left sidebar.

  3. Select the Transcription license under Manage Licenses section.

  4. Click the edit icon for the specific user you would like to update the assigned minutes.

  5. Click Save Changes.
