Run reports or extracts

Reports contain summary information about your project that you can view and print. You can periodically check on the progress of your project by running reports.

An extract lets you export a collection of data to a text, Excel or XML file—you can use this data for complementary analysis in other applications.

You can run reports from List View including:

Run a report

  1. In Navigation View, expand the Output folder and then select the Reports folder.
  2. In List View, double-click the report you want to run.
  3. If the report includes filters, the Filter Options dialog box is displayed so you can apply filters to the data.
  4. Click OK. The report results are displayed in Detail View.

Run an extract

When you run an extract, the results are not displayed on screen, they are exported to the specified file type— text file (.txt), Excel file (.xls, .xlsx) or XML file (.xml). You can open the file in other applications that support the selected format.

  1. In Navigation View, expand the Output folder and then select the Extracts folder.
  2. In List View, double-click the extract you want to run.
  3. If the extract includes filters, the Filter Options dialog box is displayed so you can apply filters to the data.
  4. Click OK.
  5. (Optional) Choose a different location and file name.
  6. In the Save as type box, choose the file format for the extract.
  7. Click Save.

What are predefined reports and extracts?

NVivo comes with a set of predefined reports and extracts that you can use—for example, you can run a report on the coding in your project.

When you run a report, the results are displayed in Detail View. When you run an extract, the results are saved to a file that you can work with in another application.

The following reports and extracts are available in NVivo:

Predefined reports and extracts Description
Coding Summary by Code Lists your nodes or relationships and the files that are coded at them. Any text that is coded is included in the report. This report can help you to review your coding.
Coding Summary by File Lists your files and the nodes or relationships that code them. Any text content that is coded is included in the report. This report can help you to review your coding.
Case Classification Summary Lists the classifications and attributes for the cases in your project. You can extract this data for complementary analysis in statistical applications.
Coding Structure Lists the codes in your project with information about the folder location, aggregate status, nickname and color.
Code Summary Lists the nodes or relationships including statistical information—for example, the total words coded. This can help you to see which themes or ideas are occurring more than others.
Project Summary Displays the properties of your project (for example, project name and description), the user profiles associated with your project, and lists all the items within your project.
File Classification Lists the classifications and attributes for the files in your project. You may want to extract this data for use in other applications that support text (.txt), Excel (.xls, .xlsx) or XML (.xml) file formats.
File Summary Lists the files in the project. For each file, it shows file properties and statistics—for example, number of coding references. Statistics vary depending on the type of file.
